2.1 PAYMENT, CANCELLATION AND CHANGES

Upon confirmation of a quote, partial invoice 1 of 50% of the total quoted amount is issued for immediate payment.
This payment serves as a final booking and is non-refundable in the event of cancellation by the client.

Bliss Cph always strives to deliver an experience of the highest quality based on the agreements and wishes established during the planning process.
Any changes or additions to the agreement must be approved in writing by both parties to be valid.

Bliss Cph cannot be held responsible for subjective assessments of the experience, including taste, atmosphere, music selection, décor or similar, as long as the delivery has been carried out in accordance with the agreed framework and standards.

The client is responsible for ensuring that expectations, wishes and special requirements are clearly stated in the final agreement.

3. LIABILITY

All movement at venues where Bliss Cph hosts events is at the individual’s own risk. Bliss Cph cannot be held liable for lost belongings, personal injury or other incidents that may occur during the event.

4. COMPLAINTS AND CLAIMS

Any complaints regarding parts of the event must be submitted in writing no later than 48 hours after the event.
After this point, the event is considered approved and concluded.

Bliss Cph reserves the right to assess whether a complaint is justified based on the original agreement, documented communication and the actual delivery.
No compensation is given for subjective experiences or matters beyond Bliss Cph’s control, such as guests’ behaviour, the weather, technical issues with third-party equipment, supplier delays or similar.

5. RIGHTS TO IMAGES AND VIDEO

Bliss Cph reserves the right to take and use atmospheric photos and video from events for use on its own platforms, including social media, website and presentation materials.
Images will always be used with respect for the client’s and guests’ integrity and without portraying individuals in an offensive manner.

Should the client not wish for Bliss Cph to use images from the event, this must be agreed in writing prior to the event.

6. FORCE MAJEURE

Bliss Cph and the event venue are entitled to cancel or postpone an event in the event of extraordinary circumstances beyond our control – including natural disasters, pandemic, fire, disease outbreaks, insolvency, supply chain failures, government orders, strikes or similar.

In such cases, Bliss Cph will, where possible, offer a new date for the event. Only documented, non-cancellable expenses shall in that case be borne by the client.

If Bliss Cph is required to cancel an event for reasons unrelated to Force Majeure, the client’s advance payment will be refunded in full.

At Bliss Cph, we work with a structured and creative planning process that ensures clarity, transparency and high quality at every stage of the event.

The process below describes the typical planning structure at Bliss Cph. The specific process is always adapted to the agreed task, package solution and scope set out in the accepted quote and contract.

Not all phases or services are included in every project.

The planning process can typically be divided into the following main phases:

1. INITIAL MEETINGS AND CONCEPT

The process typically begins with a no-obligation conversation, where we:

  • Get to know each other

  • Clarify wishes, style and priorities

  • Present initial ideas and solutions

  • Establish an overall budget framework

Purpose:
To create a shared foundation for the planning process.

2. AGREEMENT AND CONTRACT

Once direction and budget level are aligned, a formal agreement is entered into.

This phase may include:

  • Issuing and signing of contract

  • Preparation of formal quote

  • Establishing planning time and overall scope

Purpose:
To create a clear agreement on role, responsibilities, planning time and financial framework.

3. DESIGN AND DEVELOPMENT PHASE

In this phase, the event’s detailed expression and solutions are developed.

Depending on the agreed task, this phase may include:

  • Further development of moodboards and design direction

  • Planning of flowers, styling, signage and details

  • Menu and bar development

  • Supplier selection and coordination

  • Detailed timeline and run-of-show

Purpose:
To develop all elements in detail before the event.

4. FINALISATION AND CONFIRMATION

In the lead-up to the event, all details are finalised.

This phase may include:

  • Final confirmation of suppliers, menus and setup

  • Submission of event plan and timeline

  • Final invoicing

Purpose:
To ensure all details are confirmed before the event.

5. EXECUTION OF THE EVENT

On the day of the event, Bliss Cph handles the agreed coordination and execution.

Depending on the task, this may include:

  • Setup and styling

  • Supplier coordination

  • Programme execution

  • Presence of event manager and staff

  • Breakdown and post-event follow-up

Purpose:
To ensure a professional and seamless execution of the event.

Important regarding quotes and scope

The initial proposal establishes the overall style and budget framework and serves as the basis for the further agreement.

The final scope, content and price are always set out in the most recently approved quote.

Bliss Cph works with tailored design solutions, where the event’s visual expression is developed in close dialogue with the client.

The initial visual proposal shows the overall style and budget framework. The final design is established in the design phase after the contract and quote have been accepted and is set out in the most recently approved quote.

Visual direction and inspiration

In the planning process, Bliss Cph often works with:

  • Moodboards

  • Inspiration images

  • Visual proposals

  • Examples of flowers, styling and materials

These materials are used to illustrate style, atmosphere and direction.

Inspiration images are indicative and do not represent an exact description of the final setup, unless specifically stated in the quote.

From inspiration to final design

The initial visual proposal establishes the overall style, atmosphere and budget framework.

The final design is only confirmed in the design and development phase after the contract and quote have been accepted.

In this phase, the visual expression is developed in dialogue between the client and Bliss Cph through:

  • Moodboards

  • Design proposals

  • Material selection

  • Adjustments to flowers, styling and details

  • Any tastings and supplier selections

The design is continuously adapted in relation to:

  • Budget

  • Available materials

  • Season

  • Venue conditions

  • Supplier options

Design development

In the design phase, the event’s visual expression is developed, which may include:

  • Flower design

  • Table arrangements

  • Styling and décor

  • Signage and printed materials

  • Special elements and installations

Not all design services are included in every project.
The specific scope depends on the agreed task and package solution.

Budget and upgrades

Design solutions are established in relation to:

  • The agreed style

  • The budget framework

  • Season and availability

If the client wishes upgrades or additions that go beyond the agreed budget framework, this may result in an additional charge.

The final price is confirmed once the design and quantities have been approved.

The final design

The final design is confirmed in the design phase after the contract and quote have been accepted.

The final solution is set out in:

  • The most recently approved quote

  • The signed contract

  • Any updates approved in writing

Inspiration materials and visual proposals from the initial phase are indicative and do not constitute an exact representation of the final setup, unless this is specifically stated in the quote.

Bliss Cph collaborates with a number of external suppliers as part of event planning. The specific collaboration and division of responsibility depends on the agreed task and is always set out in the accepted quote and signed contract.

Supplier recommendations

Bliss Cph often recommends suppliers as a service to the client, based on experience, quality and previous collaborations.

This may include:

  • Catering companies

  • Photographers and videographers

  • DJs and musicians

  • Florists

  • Transport providers

  • Technical and AV suppliers

  • Hire companies

The client always approves the final supplier selections as part of the quote.

Direct agreements with suppliers

When the client enters into a direct agreement with a supplier:

  • The agreement is solely between the client and the supplier

  • The supplier’s own terms and conditions apply

  • The supplier is responsible for their own services

In such cases, Bliss Cph is not liable for:

  • The supplier’s services

  • Delays

  • Errors or deficiencies

  • Cancellations

  • Financial matters between the client and the supplier

Supplier coordination by Bliss Cph

When Bliss Cph coordinates suppliers on behalf of the client as part of the planning agreement:

  • Bliss Cph acts as the point of contact

  • The supplier remains responsible for their own delivery

  • Bliss Cph is not liable for the supplier’s potential errors, delays or cancellations

Bliss Cph strives to identify and address any issues as quickly as possible and to find solutions in collaboration with the client.

Changes to suppliers or design

It may sometimes be necessary to make changes to suppliers or design if:

  • A supplier cancels or is unavailable

  • Materials are not available

  • Conditions change significantly

In such cases, Bliss Cph will always seek equivalent alternatives within the agreed budget framework.

Any significant changes to suppliers or design are communicated to the client and confirmed in the updated quote, which is approved in writing by the client.

Final liability

The final liability and collaboration with suppliers is always set out in:

  • The accepted quote

  • The signed contract

  • Any updates approved in writing

The specific setup may vary from project to project, depending on the agreed role and package solution.

If catering or bar service is included in the accepted quote, the specific content is developed in the planning and design phase in dialogue between the client, the supplier and Bliss Cph.

The final menu and bar content is always confirmed in the most recently approved quote.

Basis for quotes

Catering and bar prices in the initial quote are based on:

  • The agreed budget level

  • The desired style and quality

  • Preliminary menu proposals or standard solutions from the supplier

The initial proposal establishes the overall direction but does not necessarily constitute the final menu.

Menu and bar development

The final menu and bar content is established in the planning and design phase, taking into account:

  • The client’s wishes and priorities

  • Season and ingredient availability

  • Number of guests

  • Venue conditions

  • Supplier options

Menu and bar are continuously adapted in relation to budget and design decisions.

Tastings

Tastings may be included in the quote if stated in the agreed package solution.

This may include:

  • Food tasting

  • Drinks tasting

  • Adjustment of menu or bar content

The number of tastings and scope is stated in the accepted quote.

Changes and upgrades

If the client wishes:

  • Upgrade of ingredients or level

  • Extra courses

  • Special menus

  • Extended bar

  • Specialty drinks

  • Extra tastings

  • Changes to style or concept

this may result in an additional charge.

The final price is confirmed once the menu, bar content and quantities have been approved.

External catering companies

If catering or bar service is provided by an external supplier:

  • The supplier’s own terms and conditions apply

  • The supplier is responsible for production, delivery and staff

Bliss Cph coordinates the delivery in accordance with the agreed scope but is not responsible for the supplier’s internal operations or production.

Final scope

The final menu and bar content as well as the total price are always set out in:

  • The most recently approved quote

  • The signed contract

  • Any updates approved in writing

Not all catering or bar services are included in every project. The specific scope depends on the agreed task and package solution.

If transport or hire of tableware, furniture or equipment is included in the accepted quote, the specific scope and final prices are established in the planning process. The final scope is always set out in the most recently approved quote.

Preliminary prices

Prices in the quote may be based on:

  • Preliminary quotes

  • Standard solutions

  • Estimates from suppliers

The final price is only confirmed once:

  • Suppliers have been confirmed

  • Style and material selection have been approved

  • Quantities have been established

Any price changes from suppliers are passed on to the client.

Transport

Transport may include:

  • Bus or coach transport

  • Boat transport

  • Guest transport between venues

Transport prices in the initial quote are often based on preliminary estimates or standard quotes from transport providers.

The final transport solution and price are only confirmed in the planning and design phase, once:

  • Guest numbers have been confirmed

  • Routes and times have been established

  • Transport type and comfort level have been selected

  • Supplier has been finally confirmed

Transport prices are subject to the transport provider’s terms and conditions. This applies regardless of whether the transport is:

  • Booked through Bliss Cph, or

  • Booked directly by the client with the transport provider

Bliss Cph is not liable for damage or additional costs arising from guests’ behaviour during transport.

Hire of tableware and equipment

Hire may include:

  • Plates, glasses and cutlery

  • Tablecloths and textiles

  • Tables and chairs

  • Furniture and lounge environments

  • Bar and service equipment

  • Décor and styling elements

Hire may take place either:

  • Directly from Bliss Cph, or

  • Through external hire suppliers

The specific setup is always set out in the accepted quote.

Liability for hired equipment

The client is responsible for:

  • Damage to hired equipment

  • Lost items

  • Abnormal wear or damage caused by guests or third parties

This applies to equipment:

  • Hired through Bliss Cph, and

  • Hired directly from external suppliers

Any costs for:

  • Repair

  • Cleaning beyond normal use

  • Replacement of damaged or lost items

will be passed on to the client.

Changes and upgrades

If the client wishes to change transport or hire selections, this may affect the price. Changes are always confirmed in the updated quote.

If the client wishes upgrades or additions that go beyond the agreed budget framework, this may result in an additional charge.

Additional costs may arise from:

  • Material selection

  • Quantities

  • Special solutions

  • Supplier’s prices and availability

The final price is confirmed once:

  • Style and design have been approved

  • Quantities have been established

  • Suppliers have been confirmed

Final scope

The final scope and total price for transport and hire are always set out in:

  • The most recently approved quote

  • The signed contract

  • Any updates approved in writing

Not all transport or hire elements are included in every project. The specific scope depends on the agreed task and package solution.

Bliss Cph’s planning services are based on a set amount of time, as stated in the accepted quote.

Planning time depends on the size, complexity and agreed package solution of the event.

Reasonable time frame

Most quotes are based on a reasonable and professional assessment of the expected time required for the agreed task and package solution.

It is not the intention for the client to be continuously invoiced for extra planning time during a normal planning process.

The provision regarding extra planning time primarily applies if the task develops beyond the originally agreed scope, or if the client wishes changes, extra meetings or extended solutions.

What planning time includes

Planning time includes, among other things:

  • Planning meetings

  • Phone calls and online meetings

  • Email correspondence

  • Design work and moodboards

  • Supplier coordination

  • Budget updates

  • Timelines and logistics

  • Other event-related planning

Planning phases

The planning process typically includes:

  • Concept and budget phase

  • Design and development phase

  • Final planning and coordination phase

The quote includes a reasonable number of:

  • Planning meetings

  • Design revisions

  • Supplier adjustments

Extra planning time

Extra planning time may arise from, among other things:

  • Repeated changes to style or concept

  • Extra or extended meetings

  • Change of suppliers

  • Changes to venue or event structure

  • Expansion of the event’s scope

  • Delays in the decision-making process

Extra planning time is invoiced at the applicable hourly rate, as stated in the accepted quote or agreed separately.

Time recording and notification

Bliss Cph keeps an internal record of planning time.
The client may, upon request, receive an overview of hours used.

Bliss Cph informs the client if planning time is approaching the included allowance, and extra time is always agreed with the client before being invoiced.

Final scope

The precise scope of planning time is always set out in:

  • The accepted quote, and

  • The signed contract.

Planning time is adapted to the specific task, and not all services or phases are included in every project.
