Conference planning – from idea to evaluation

A conference is a different kind of assignment from a corporate party. It is not measured by atmosphere or the dance floor, but by whether the content is delivered without technical issues, whether the schedule holds from the first welcome to the final panel debate, and whether participants leave feeling that their time was well spent. That places high demands on logistics, AV and coordination – areas that few internal project teams have extensive experience managing.

That is where we come in. Bliss CPH is a full-service event agency that plans and delivers conferences, professional days and international delegations for Danish and international organisations. Founder Cat Bjørnholt and the team behind Bliss have delivered everything from internal leadership conferences for 40 participants to international congresses with several thousand attendees. We know the difference between a good conference and one that merely took place.

We offer full-service planning, where we take care of the entire operation, as well as partial assignments where we handle specific areas such as scenography, AV or participant management.

When you place the conference in our hands, you and your professional team only need to focus on the content. We take care of the rest.

We find the venue. Bliss has a strong network of conference venues throughout Denmark and can also deliver conferences abroad for clients with an international setup. We select venues based on number of participants, number of parallel tracks, need for breakout rooms, AV capacity, location in relation to hotels and transport, and catering options.

We plan the catering. Conference catering is just as much about timing as it is about food. A late morning coffee slows the room down; a lunch that is too heavy drains the energy from the afternoon. We coordinate with the caterer on breakfast, morning breaks, lunch, afternoon breaks and any networking dinner, ensuring that food is served exactly when the programme requires it. Allergies, special diets and cultural considerations are registered during sign-up and ready on the day.

We handle AV and technical production. Projectors, stages, microphones, sound, lighting, clickers for speakers, recording for streaming or post-production. We work with experienced technical partners and have a technician present throughout the entire conference, so when a speaker arrives two minutes before their session and asks about an HDMI adapter, the answer is ready.

We coordinate speakers and the programme. We contact speakers well in advance, collect slides, biographies and technical requirements, and make sure the programme flows. On the day, one of our project managers is backstage keeping track of time, so sessions do not overrun and the next speaker is not left waiting in the wings. We also welcome external speakers on arrival, provide a short speaker briefing, and ensure their presentation has been tested in the correct format before they step onto the stage.

We manage the participants. Registration, badges, cloakroom, wayfinding and onsite support. These are often the details that determine whether participants remember the conference as professional or chaotic.

International delegations and hybrid conferences

A large part of the conferences we deliver have participants from several countries. This adds a layer of complexity that is not present at national events – and this is exactly where experience proves its value.

We coordinate hotel and transport for travelling delegations, including group bookings, transport between airport, hotel and venue, and dedicated hosts who can welcome guests in several languages. Where needed, we arrange interpretation, both simultaneous interpretation with booths and consecutive interpretation for smaller sessions.

Hybrid formats have become part of most larger conferences. We deliver broadcast-quality streaming, online platforms for remote participants, Q&A systems that work both in the room and online, and a technical setup where remote participants get a real experience – not just a camera pointing at the stage. We have dedicated online hosts who moderate the chat and bring relevant questions onto the stage, so remote participants do not feel like second-class guests.

Venues for conferences

We work with conference venues throughout Denmark, from dedicated conference hotels with several parallel rooms to manor houses that can accommodate intimate leadership conferences, as well as industrial halls or museums for conferences where the setting needs to be part of the branding. If you would like to use one of our own venues, we have Pladeværkstedet and Søllestedgård, both of which can be adapted to conference formats.

We negotiate prices and terms on your behalf and make sure the venue contract matches the actual need: cancellation terms, flexibility on participant numbers, AV supplements and accommodation rates. We have seen contracts cost a company an additional DKK 100,000 in supplements simply because an internal project team did not know what to look for.

How a conference project works

A conference project with us typically takes 3–6 months from the first conversation to delivery, depending on size and complexity. Large international conferences with 500+ participants may require up to a year of preparation, while an internal leadership conference for 60 participants can be delivered in 6–8 weeks.

We start with a no-obligation conversation about your purpose, participant group, budget framework and programme idea. We ask about conferences you have attended yourselves and what worked or did not work, because this is often where we discover what your organisation actually needs. From there, we provide a proposal with specific venue suggestions, price estimates and a project plan.

Once you have chosen your preferred direction, we begin booking, contracts and detailed planning. You get one dedicated project manager who follows you all the way and works directly with your professional team on programme and content. On the day itself, we are onsite many hours before the first participant arrives and stay until the last supplier has packed down.
